Description

Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel and assists in administering policies relating to all phases of payroll administration and human resources activity by performing the following duties.

 

 

 

Responsibilities

Essential Duties and Responsibilities include but are not limited to the following. Human Resources:

 

Understands legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.

 

Assists in the administration of recruiting, interviewing, and testing candidates to fill vacant positions.

 

Participates in new employee orientation to foster positive attitude toward company goals.

 

Keeps records of benefits plans participation such as insurance and pension plan, personnel transactions such as hires, promotions, transfers, performance reviews, and terminations, and employee statistics for government reporting.

 

Performs other clerical duties as needed, such as filing, photocopying, and collating.

 

 

Payroll:

 

Verifies, allocates, posts payroll details.

 

Interprets company policies and government regulations affecting payroll procedures.

 

Compiles payroll data such as hours worked, taxes, insurance, and union dues to be withheld, and employee identification number, from time sheets and other records.

 

Prepares and enters data into ADP to compute wages and deductions and posts to payroll records.

 

Reviews wages computed and corrects errors to ensure accuracy of payroll.

 

Records changes affecting net wages such as exemptions, insurance coverage, and loan payments for each employee to update master payroll records.

 

Records data concerning transfer of employees between departments.

 

Keeps records of leave pay and nontaxable wages.

 

Prepares periodic report of union dues, wages and flexible spending.

 

Prepares and issues paychecks.

 

 

Reception:

 

Answers switchboard 8:30 a.m. to 5:00 p.m. and updates greeting for holidays and emergencies.

 

Retrieves messages from voice mail and forwards to appropriate personnel.

 

Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.

 

Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

 

Answers questions about organization and provides callers with address, directions, and other information.

 

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

 

Meet and greet clients, new employees, applicants and all other visitors to the building

 

Monitors visitor access and issues passes when required.

 

Updates appointment calendars.

 

Maintains time and attendance system daily and run weekly timesheet reports.

 

Trains new personnel on reception duties to maintain continuous coverage.

 

 

Qualifications

Education and/or Experience

 

Bachelor's degree (B. A. or B.S.) from four-year college or university; and 1+ years’ experience in a similar role successfully executing job duties and/or training; or equivalent combination of education and experience.
